Exhibitor Display Information and Registration Form

Exhibit space is available for groups wishing to set up a table.

Conference Registration Please note that exhibitors are required to register for the conference should they wish to attend any sessions, including the lunch sessions. Please use the conference registration form along with your exhibit booth form.
Location The exhibit areas will be located in the East Terrace Room on the second floor of the UIC Student Center East. We estimate 20 booths will be staged.
Space Assignments Because of the limited number of exhibits available, Chicago Wilderness will give priority to volunteer groups and Chicago Wilderness members. All others will be assigned on a first-come first-assigned basis. Chicago Wilderness will make a best effort to accommodate exhibitors’ special requests but reserves the right to change the location assignments at any time prior to the exhibition dates as deemed necessary.
Deadline Exhibitor registration deadline is: January 24, 2009.
Exhibitors will receive a confirmation letter and receipt soon after registration form and payment are received. Exhibitor packets, containing details about booth assignment, will be sent out the last week of January.
Provided to Exhibitor Exhibit space will include an 8' x 10' booth area, one 6' table, and two chairs.
Exclusion Chicago Wilderness retains the right to exclude or require modifications of any display or demonstration that, at the discretion of the conference steering committee, is considers unsuitable to the character of the conference. All exhibits and display materials will be subject to approval by Chicago Wilderness.
Exhibit Set-Up and
Tear-Down
Exhibitors may only set-up and dismantle their displays during those times specified by Chicago Wilderness. All exhibits must be removed by 5:30 p.m.; any remainders will be discarded.

Saturday, February 7, 2009:
  • Exhibit hours: 8:30 a.m. to 4:30 p.m.
  • Exhibit set up: 7:30 a.m. to 8:30 a.m.
  • Exhibit teardown: 4:30 p.m. to 5:30 p.m.
Codes and Agreements Exhibitor agrees to be bound by the conference regulations. Exhibitor further agrees to adhere to all applicable fire, utility, and building codes; regulations of the facility where the conference is held; the terms of all agreements between Chicago Wilderness and the managers or owners of said facility; and the terms of all agreements between Chicago Wilderness and any other party relating to the exhibits in the facility that would cause a difference in conditions from those approved by the insurance carriers of Chicago Wilderness or the owners or managers of the facility, which will increase premiums payable by any of said parties.
Exhibitor Fees A fee of $30 applies to for-profit groups and any other groups selling products; otherwise the tables are free.

Conference registration is not included with your Exhibitor Fee. (Conference registration is $27 on or before January 24th and $35 after January 24th per person. Lunch is an additional $10.)
